Setup Instructions

Arch

Ceremony - Assemble arch before 1 pm. The florist is coming at 1 to add floral arrangement
- There are 3 cross supports for the top pieces. Use the provided tools to screw them back in to connect the two top pieces. The screws should be oriented in the same direction as the ones that are already installed.
- Ensure that the side piece with the velcro is next to the control box for the lights
- Unwrap the strings of lights and put them in individual columns.
- Plug into wall. Extension cord included
- The control box on the lights has a button - Press to get the slow fading in/out of different strings (example)
- Small 36" round table from the Sheraton goes under the arch to hold the Unity Candles
- There are extra screws and cloth just in case
Transition to Reception
- The floral piece goes on the sweetheart table (diagram) (Florist will not do this)
- The arch goes behind the sweetheart table. Set the lights to the same setting as Ceremony. (Paul wants to be in charge of the setting during the reception)
Take down
- Floral Piece - trash?
- Arch - disassemble, back into box, and leave in Paul and Shae's room
Responsibility - Palm and Pine with help from ushers (Kyle, Jeff C, and Jessie)

Ceremony - table layout (diagram)
- Candle stick with tall candle (the biggest one!) - Don't light it!
- 1 Taper candle in holder on each side of the candlestick - Don't light them!
- Matches in back of table
Transition to reception - Sweetheart table (diagram)
- Candle stick gets short candle in glass holder - Light it!
- Store tall candle in tub/box
Take down - put everything back in tub/box

Ceremony Setup - (diagram) These go along the aisle in the ceremony, 1 per row and alternating sides
- Turn on candle in the inside - switch is on the bottom
- Sprinkle flower petals along edges of aisle runner (see photo in ceremony layout diagram)
Transition to reception - (diagram) These go on various tables see diagram, lanterns marked with 'x'
Take down - put back into tub
Count - 10

Setup - Goes on the gift table at in the Ceremony Room
- Card sign get taped to the inside of the lid
- Open lid
Transition to Reception - Move this with the gift table
Take Down - Put back into tub

Setup - These go at several different tables throughout the venue. See diagram, locations marked with 'P'
Take down - put back into tub
Count - 10

Setup - place on tables marked with F (diagram)
Transition to reception - take the bouquets from each bridesmaid and place into vase
Take down - discard flowers, put vases in tubs
Count - 5

Setup - Kase and River to carry during ceremony and hand to Matt and Ashlyn
- Remove rings from boxes for use in ceremony. Get boxes to Jenny
Transition to Reception - Jenny to fill with Treasure (Provided) and return to Paul and Shae
Paul and Shae to give to boys
Responsibility - Jenny

Setup - Goes at Guest book table (diagram)
- Etched piece in the center
- Put together ~ half of the puzzle (surround etched piece)
- Remaining pieces in a pile
- Markers in front of the pile of pieces
Takedown - Take a picture, send to Paul or Shae, Everything goes into a tub/box
Responsibility - Palm and Pine

Setup - Two groups of cards on Escort Card Table/Champagne Table
- Larger group goes on champagne glasses
- Smaller group does not go on glasses, keep in a separate arrangement
Responsibility - Jenny

Setup - Sheraton will Assemble and place on Dessert table
- Parts labeled with Post its for assembly
Take down - put back in slim box
Responsibility - Palm and Pine

Setup - Party favor table
- Put menorah in vase
- set candles and lighter by the vase - Do not light candles!
Take down - put back into tub
Responsibility - Palm and Pine

Setup - Plug into power and use HDMI cable into projector (micro HDMI adapter included), both on the left side of the laptop
- Open the file on the desktop (paulandshaewedding.pptx)
- Get slideshow up onto the projector
- set on repeat
Take down - put power cord, hdmi cord, and laptop into bag. return to Paul and Shae's room
Responsibility - Jeff and Kyle

If you see these at the end of the night, please place in our box/tub
- Flower Girl basket
- Champagne coupes with or without charms
- P+S Umbrella

Setup - Shae will pick up from BEL on Friday and deliver to Sheraton. Sheraton will take care of setup for the event
Take down - Sheraton will bag them up and they need to be delivered to Paul and Shae's room.
Count - 1 Aisle runner and 16 table runners
Responsibility - Palm and Pine to gather and return to the Fosters
